Our goal is to provide a fair, transparent, and author-friendly refund process while protecting the professional work completed by our formatting team. We encourage every client to review the service description, package details, manuscript requirements, platform requirements, and turnaround expectations before placing an order.
Custom Digital Service
Book formatting is a custom service created around each manuscript, publishing platform, trim size, interior style, and file requirement.
Project Stage Matters
Refund decisions are based on whether the order is pending, in progress, substantially completed, delivered, revised, or finalized.
Revision First Approach
When a formatting issue can be corrected, we will usually resolve the matter through revisions before considering a refund.
1. Scope of This Refund Policy
This Refund Policy applies to all services purchased from Book Formatting Experts, including ebook formatting, paperback formatting, hardback formatting, print layout, childrenโs book formatting, cookbook formatting, workbook formatting, academic formatting, journal layout, publishing support, file conversion, platform preparation, and related add-on services.
By placing an order, approving a quote, submitting a manuscript, or authorizing us to begin work, you agree to this Refund Policy together with our Terms and Conditions and Privacy Policy.
2. Custom Digital Publishing Services
Our services are not pre-made physical products. Each order requires professional time, manuscript review, formatting setup, style decisions, technical adjustments, file preparation, platform-specific export settings, quality checks, and revision handling.
Because the work is customized to your book, refunds are handled differently from standard retail purchases. Once work begins, a portion of the payment may become non-refundable to cover professional time, project setup, administrative handling, and completed production work.
3. When a Refund May Be Approved
A refund may be considered in limited circumstances where the request is reasonable, documented, and submitted before the project has been substantially completed or delivered.
Duplicate Payment
If you were accidentally charged twice for the same order, we will review the payment records and refund the confirmed duplicate charge.
Order Not Started
If you cancel before any project review, setup, formatting, file preparation, or production work begins, a refund may be approved.
Service Not Available
If we are unable to provide the service you purchased and no suitable alternative is agreed upon, a refund may be issued.
Confirmed Internal Error
If an issue is caused by our team and cannot reasonably be corrected through revisions, we may offer a partial or full refund.
4. Non-Refundable Situations
Because our work is custom and time-based, some payments are not refundable once service has started or deliverables have been prepared.
- Orders where formatting work, project setup, manuscript review, file preparation, or design styling has already begun.
- Projects where draft files, proof files, sample layouts, print-ready files, ebook files, source files, or final files have been delivered.
- Completed formatting services that match the agreed package, order description, quote, or approved project scope.
- Requests based only on a change of mind, publishing delay, personal schedule change, or decision not to publish the book.
- Requests caused by an incomplete, incorrect, poorly edited, outdated, or replaced manuscript supplied by the client.
- Requests caused by platform rule changes, account restrictions, publishing account issues, tax verification issues, copyright review, content review, or metadata problems outside our control.
- Express delivery fees, rush fees, consultation fees, administrative fees, extra revision fees, and custom add-ons after work has started.
5. Order Cancellations
You may request to cancel an order by contacting us as soon as possible. Cancellation eligibility depends on the stage of the project at the time your request is received.
Before Work Begins
A full refund may be available if no review, setup, communication planning, formatting, or file preparation work has started.
After Work Begins
A partial refund may be considered after deducting completed work, project setup time, administrative handling, and payment processing costs.
After Draft Delivery
Refunds are generally not available once draft, proof, sample, or review files have been delivered, unless a serious issue cannot be corrected.
After Final Delivery
Refunds are not normally available after final files are delivered because the custom digital service has been completed.
6. Revisions Before Refunds
Book Formatting Experts follows a correction-first approach. If there is a formatting issue, layout inconsistency, export problem, or technical file concern within the agreed scope, we will usually correct the issue through revisions instead of issuing a refund.
Revision requests must be clear, specific, and related to the original order scope. Revisions do not include rewriting, editing, proofreading, redesigning the entire interior after approval, changing the manuscript after formatting has begun, creating a new trim size, adding new chapters, changing publishing platforms, or expanding the order beyond the original agreement unless quoted separately.
7. Publishing Platform Rejections
If a publishing platform rejects a file because of a formatting issue within our agreed scope, we will review the rejection notice and correct the file where possible. You may be asked to provide screenshots, platform messages, upload error reports, or the exact rejection reason.
We are not responsible for rejections caused by manuscript content, copyright claims, account verification, metadata errors, ISBN issues, cover problems supplied by a third party, low image quality provided by the client, prohibited content, pricing settings, regional restrictions, or changes made after our final delivery.
8. Custom Quote and Large Project Refunds
Large projects, books above standard package limits, complex custom layouts, childrenโs books, cookbooks, workbooks, illustrated interiors, academic books, and projects requiring more than ordinary formatting may require a custom quote.
Custom quote projects may include deposits, milestone payments, or staged delivery. Deposits and milestone payments may be non-refundable once the related stage has started or been completed. Any refund request for a custom quote project will be reviewed against the agreed scope, completed work, timeline, communication history, and files already delivered.
9. How to Request a Refund Review
To request a refund review, please contact Book Formatting Experts with your order details and a clear explanation of the issue. We may ask for supporting information so we can review the request fairly.

Include your name, email address, order number if available, service purchased, and the date of payment.
Explain the Issue Clearly
Describe why you are requesting a refund and include screenshots, platform notices, delivery files, or examples where helpful.
Allow a Fair Review
We will review the order status, completed work, project scope, communication history, and any issues raised.
Receive the Decision
If approved, refunds are usually returned to the original payment method. Processing times may depend on your bank or payment provider.
10. Chargebacks and Payment Disputes
We encourage clients to contact us before opening a chargeback or payment dispute. Most concerns can be resolved faster through direct review, correction, clarification, or a fair refund assessment.
If a chargeback is opened after work has started or files have been delivered, we may provide the payment processor with order records, communication history, project scope, proof of work, draft delivery, final delivery, and relevant policy information. Chargebacks may delay resolution and may affect access to additional revisions or support until the dispute is resolved.
11. Refund Method and Processing Time
Approved refunds are normally processed to the original payment method used at checkout or invoice payment. We do not guarantee that a refund can be sent to a different card, bank account, or third-party account.
After approval, refund processing time may vary depending on your bank, card issuer, payment processor, or financial institution. Any original payment processing fees, currency conversion fees, bank fees, or third-party charges may be non-refundable where applicable.
12. Changes to This Refund Policy
Book Formatting Experts may update this Refund Policy when necessary to reflect service changes, platform requirements, payment processor rules, business operations, or legal requirements. The latest version posted on this page will apply to new orders placed after the update date.
